Privacy Policy

1. Scope

Farewell Pages provides tools for memorial announcements, funeral/service arrangements, public memorial pages, contributor invitations, photos, tributes, online programmes, practical-support information, and printable programme files where enabled.

This policy explains how we collect, use, store, share, and protect personal information when you visit our site, create or manage a memorial, contribute through an invitation, contact us, or use related services.

2. Public memorial content

An authorized organizer may choose to publish a deceased person's name, portrait, dates, remembrance text, service details, selected photos and tributes, public contact details, and practical-support information.

Do not publish information unless you have authority to share it. A public memorial link may be viewed, copied, screenshotted, or forwarded by people who receive it. Technical controls such as no-index settings do not make a shared public link private.

3. Information we collect

Account and organizer information

We may collect your name, email address, authentication information, memorial-management activity, account settings, support communications, and security/audit events.

Memorial and programme information

Organizers may provide official and preferred names, portraits, dates, obituary/remembrance text, events, service/burial/reception details, public contacts, programme content, selected photos/tributes, and printable-programme choices.

Contributor information

When a contributor uses an invitation link, we may collect their name, relationship, message, photos, captions, optional contact details, invitation-validation information, and submission time/review status. Contributor submissions are private by default until an authorized organizer approves selected content.

Payment information

Where paid features are enabled, we may receive order status, payment-processor identifiers, product, amount, currency, and payment outcome. We do not intend to store complete payment-card numbers. Payment processing is handled by Stripe, Inc.

Technical information

We may collect IP address, browser/device information, logs, error reports, security events, pages/features used, referral URLs, and cookies or similar technologies necessary to operate, secure, remember preferences, or measure performance.

4. How we use information

We use personal information to:

• operate, secure, improve, and support Farewell Pages;
• create/manage accounts and memorials;
• publish only organizer-approved public content;
• validate contributor invitations and process submissions;
• enable review, approval, hiding, restoration, and deletion of submissions;
• generate online programmes and printable files where enabled;
• process purchases, grant entitlements, prevent duplicate payment processing, and provide transaction support;
• communicate about accounts, memorial activity, service changes, security, and support;
• prevent fraud, abuse, and unauthorized access; and
• comply with legal obligations.

5. Legal grounds and authority

Where applicable, we process information based on consent, contract performance, legitimate interests in operating and securing the Service, legal obligations, or other lawful grounds.

If you create, manage, or contribute to a memorial, you represent that you have the authority needed to submit and, where appropriate, publish the content. Organizers are responsible for obtaining relevant family, contributor, photographer, copyright-holder, and contact-person permissions.

6. Public versus private information

Public content is content an authorized organizer chooses to publish.

Private content includes organizer account data, internal coordination contacts, contributor email/contact data, invitation tokens/security metadata, private originals, moderation notes/review states, payment records, and audit logs.

We design access controls to prevent private fields from appearing publicly. Organizers must also avoid placing private information in public-facing text fields.

7. How we share information

We may share information with:

• Hosting and deployment: Vercel (application hosting and serverless functions);
• Database, storage, and authentication: Supabase (PostgreSQL database, file storage, and user authentication);
• Payment processing: Stripe (where paid features are enabled — Stripe processes card transactions under its own terms and privacy policy);
• Transactional email delivery: Resend (payment receipt emails; Supabase handles auth/confirmation emails directly);
• authorized memorial organizers according to their role;
• people who receive a public memorial link, but only for organizer-published content;
• authorities or other parties where required by law or needed to protect rights, safety, or the Service; and
• a successor entity in a merger, financing, reorganization, or asset sale, subject to applicable law.

We do not sell personal information for money. We do not use behavioral advertising or ad-tech tracking on Farewell Pages. We do not use private uploads, private memorial content, or memorial text to train public generative-AI models.

8. International transfers

Farewell Pages and its providers may process information in countries other than where you live. Where required, we will use appropriate safeguards for international transfers.

9. Retention

We retain information for as long as reasonably necessary to provide the Service, maintain memorials according to the selected plan and settings, comply with law, resolve disputes, enforce agreements, prevent fraud, and maintain security records.

Account information is retained while your account is active and for a reasonable period after closure to meet legal, security, fraud-prevention, and accounting obligations. Memorial content is retained according to your plan and settings. To request information about retention or to request deletion of your personal data, contact privacy@farewellpages.org.

10. Security

We use measures designed to protect information, including role-based access controls, row-level database security, private storage for original uploads, encrypted transport, access logging, and restricted administrative access. No online service is completely secure.

11. Your privacy rights

Depending on where you live, you may have rights to be informed, access, correct, delete, object to or restrict processing, withdraw consent, receive portable information, and complain to a relevant regulator.

Organizers can also edit, pause, unpublish, or remove memorial content through the Service. Contributors may request review of a contribution, subject to applicable law and organizer authority.

12. Kenya, UK/EEA, and California notices

If you are in Kenya, you may have rights including being informed, accessing personal data, objecting to processing, correcting false or misleading data, and deleting false or misleading data.

If you are in the UK/EEA, you may have applicable data-protection rights and may contact your local supervisory authority.

Where the California Consumer Privacy Act applies, California residents may have rights to know, delete, correct, opt out of certain sale/sharing, and not be discriminated against for exercising privacy rights. 13. Children

Farewell Pages is not designed for children to create accounts independently. Do not submit a child's information or photograph unless you are a parent, guardian, or otherwise have appropriate authority and permission.

14. Third-party links

Memorials may include third-party links, livestreams, maps, payment/contact destinations, or other embeds chosen by an organizer. Their privacy practices are governed by their own policies.
